In the last post we started introducing ClickUp.

We have learned how to create a free or paid account, according to your needs, how to work alone, in a team or with guest permissions, and how the entire job is structured in a customized workspace.

YOUR WORKSPACE

In ClickUp everything works at a Workspace level.

In your workspace you can move and share everything. It’s like a big bucket but with the structure you prefer.

Imagine a series of buckets. Inside your workspace you have your spaces (one type of bucket), inside each space you have your folders (another type of bucket), inside each folder you have your lists (you guessed it, a third type of bucket), inside each list you have your tasks, inside each task you have your subtasks or checklists. At each level you can create or embed documents. Each “bucket” can be seen in a list, board or calendar mode. Extremely flexible, isn’t it?

  • Plan the structure you want to give your ClickUp Workspace

    • Some people prefer to give each client a space and to nest all that client projects and data inside this space. Others prefer to set up a space for each department in their business. And others prefer to setup project types as spaces. So, it’s better for you to plan in advance and understand the structure that most fits your needs, otherwise you will wasting your time building and rebuilding things again in the search of the best option.

    • Setup as many spaces as you want. No limits for you!

      • Import

        If you have been using a different tool up to now, we have amazing news for you. ClickUp has already built in integrations to import your job from the main tools on the market. When setting up your space you can customize it with colours, avatar icons, and set up an integration with an existing tool to import your stuff.

        • Create

          Once you have set up your space, you can create as many folders you need, building them from scratch or using an existing template. In fact, ClickUp gives you access to a full list of premade template to suggest to you useful layouts or to facilitate your job.

          You will need to give your folders names, create lists inside them (but you can add them later if you prefer) give access to team members and guests, and set up the folder statuses.

          • Statuses

            Statuses can be created at a space, folder or list level. They are extremely important to structure your job. You can use pre-set statuses or customize them according to your workflow. Statuses are inherited by the higher-level statuses (lists inherit by folders that inherit by spaces…) but you can change them and customize them at any level.

            • Lists and list views

              Inside folders you will create your lists. At the beginning you will be forced to use a list view, but when setting it up you can add additional views that I highly recommend: the board and the calendar view. If you are on a paid plan and you work on complex projects you can also add a Gantt view. Views can be customized and filtered according to your needs. You can also pin the most relevant views in your top bar so you can click on them any time you need and have your job listed and grouped in different ways that allow you to have different perspectives.

              • Tasks

                In lists you will need to create tasks. Each task can be clicked on and will open an entire board for you. You will be able to add vital information on the task card, such as due dates, time estimates, assignees, tags, priorities, notes, charts, tables, checklists, documents, comments, chats and even record and embed videos.
